Who are we?

Our founding team is a unique mix of digital entrepreneurs, business leaders and bid experts, all with substantial experience of writing and winning bids. Having successfully led our consultancy business, Bidding Ltd, since 2014, we launched Virtual Bid Team to address problems that are very specific to bid writing.

We understand the true bottle necks in the process, and know how to build intuitive, valuable solutions that are affordable to businesses of all sizes – and Virtual Bid Team is just that.

A Smarter Way to Write Bids More Quickly

Virtual Bid Team has been built to ensure that it never damages the character that makes your business what it is. It never tries to replace your words with other words; it never creates new responses that didn’t previously exist by repurposing your (already brilliant) content, and it never writes in a way which feels cold or inhuman.

How It Works

VBT intelligently ingests your existing documents in seconds, breaking them down into meaningful, searchable chunks without any work needed from you. Within three clicks, Virtual Bid Team is configured and tailored to your business. That means that when you need to find a key piece of information, you’re not just searching document titles – you’re searching a large, centralised pool of your content for ideas and themes in a system that understands your business.

How’s that different to SharePoint or my existing bid library software?

SharePoint (and similar folder structure platforms) essentially digitised filing cabinets and files. If you want to find something, you need to know which cabinet (folder) to look in and then which file (subfolder). You likely then need to know what the document is called. Of course, you can search through them at a high level using either in-built search or CoPilot-like AI bots – but that requires a significant amount of work in tagging and organising documents and leaves you with the same problem as before.

VBT, on the other hand, automatically parses and ingests your content the second that you upload it – at the paragraph level – ensuring that…

  • Headings are recognised as logical sections, helping you pinpoint answers faster.
  • Lists (numbered or bulleted) are treated as complete ideas, so you retrieve full, meaningful responses.
  • Text inside tables and text boxes is captured, so you don’t lose critical content hidden in formatting.
  • Misspellings and variations are accounted for, so a search for “resourcing” also finds “resource” and “resourced.”

Storing Data for Lightning-Fast Search

VBT ingests your content into a specialised database designed for rapid search. Instead of scanning entire files every time, VBT retrieves results directly from its optimised index, making searches faster and more precise.

  • Individual searchable chunks: Each document is broken down into detailed, searchable sections.
  • Full files available for download: Your original content is preserved and accessible.
  • HTML storage: Data is stored in HTML format, enabling quick previews and a streamlined browsing experience.

Find What You Need, Fast

VBT eliminates the need to remember exact document names or manually structure your bid content for future retrieval. Instead, you get:

  • Fuzzy Search: Even if you don’t remember the exact wording, VBT finds close matches based on context.
  • Ranked Results: No more scrolling through endless files – VBT prioritises the best content first.
  • Scalability: Whether you have 50 documents or 5,000, the search experience remains consistently fast and seamless.
